Provide multiple authentication methods for your knowledge base

Customers, internal teams, partners — different groups often need access to the same product information. But their login requirements can vary. Today's update solves this challenge, making it easy to securely share knowledge across groups without duplicating effort.

Knowledge bases are a great way to share documentation with customers and colleagues. However, these groups often require different login methods. For example, customers might use a password, whereas internal teams rely on single sign-on (SSO).

Previously, managing this could mean duplicating the same documents across multiple knowledge bases, adding unnecessary effort and complicating link-sharing. You can now streamline this process by maintaining a single knowledge base that supports multiple login methods.

Account administrators can set this up in the Access section of your knowledge base settings. Choose your preferred access options — including SSO, passwords, or both — and customize the display names for clarity (e.g., "Internal teams" or "Customers"). When folks access your documentation, they can choose their preferred login method from the available options.

Tailor authentication for different users

Set up the login method that best supports your users. In the example below, customers access a private user guide in our fictitious app via JSON Web Token (Salesforce SSO). We then add access for the support team using an SSO identity provider (Okta). Both groups can now access and share the same knowledge base seamlessly.

Simplify the login experience

Customize display names for each login method to guide users on the sign-in page. In this example, we clearly labeled authentication options for both customers and internal teams, making it easy for everyone to select the correct method.
