Enable your team to manage your product knowledge base

Add a new knowledge base as a workspace owner

Enable your team to manage your product knowledge base

by Claire George

Knowledge bases are an excellent way to share product documentation with colleagues and customers. But keeping documentation current requires the right people to be involved. Now, workspace owners can create and manage knowledge bases — so product teams can maintain the resources they need without waiting on an administrator.

Expand who can create and manage knowledge bases — control knowledge base administration at the workspace level in your Aha! account.

Previously, only account administrators could create, edit, and delete knowledge bases. But many teams need product managers, technical writers, and other contributors to maintain documentation. So we moved knowledge base settings from Account settings to the relevant Workspace settings to increase your options.

With this update, anyone with workspace owner permissions can manage knowledge bases within their workspace — including individual Aha! Knowledge Advanced add-on users. Let's imagine that a technical writer on the Fredwin Cycling team, a fictitious fitness app, needs to create a new knowledge base to house a user guide. With these permissions, they can quickly set up a new knowledge base with no need for admin help at all.

Only a specific workspace's owners can manage its associated knowledge bases.

By default, each knowledge base is tied to its primary source document's workspace, which appears at the top of the Documents tab in your knowledge base settings. Note that you must be on the Aha! Knowledge Advanced plan to create knowledge bases. Let us know if you would like to upgrade or see a demo.

Give your team more access to knowledge base settings — so you can share information with customers and colleagues faster.

Today's update makes knowledge management more efficient. Your team will appreciate the ability to set up and update knowledge bases when needed. Account administrators will have one less request to handle. And colleagues and customers benefit from access to up-to-date information.
