Streamline collaboration across teams

Connect product planning with task management. Define your high-level strategy, create visual roadmaps, and plan launches in Aha! Roadmaps. Then, assign deliverables to the right project team in Smartsheet for implementation. The two-way integration ensures everyone has the latest information — no matter which tool they use to manage the actual work. This improves cross-team collaboration and keeps delivery on track so you can achieve your big plans.

Keep information in sync

Control how information flows between tools. Map record types and data fields in Aha! Roadmaps to specific sheets and columns in your Smartsheet workspace. Once configured, you can decide which initiatives, epics, releases, features, and requirements to send to the team. A new row is created in the selected sheet for each work item, with relevant data fields in the corresponding columns. This ensures everyone sees the same information across tools. (You can also choose whether updates sync automatically or are manual.)

Coordinate product plans

Use Aha! Roadmaps to build your product plans — capturing all the cross-functional tasks needed to deliver an exceptional customer experience. Then, send features or activities to the right project team in Smartsheet. This will sync each feature and its mapped data fields to the selected sheet right away. From there, teams in Smartsheet can organize the data by nesting features within their corresponding releases to mirror the hierarchy in Aha! Roadmaps.

Track progress on work

Stay informed about the team's progress. Updates made in either tool sync bi-directionally to keep everyone coordinated. You can also import additional records created in Smartsheet back into Aha! Roadmaps. This ensures both the product and product management teams have an accurate view of the work — so everyone moves in the same direction to create positive business outcomes.

To set up the integration with Smartsheet, you need to be an Aha! Roadmaps workspace owner. You will also need your Smartsheet account's API key. If you do not have an API key already, you can Generate one.

  • Navigate to Settings ⚙️ -> Workspace, and click the + icon next to Integrations in the left navigation bar

  • Choose Smartsheet. This will launch the integration configuration builder.

  • Name your integration (and optionally, select a template if you have already created one)

  • Click Save and continue

  • Connect to your Smartsheet account with your API key

  • Choose the Smartsheet workspace you want to connect to

  • Select a record type for mapping and the sheet you want to map to. Then, map specific fields, define statuses, and add more levels of security.
